Building a Digital Platform for 
Remote Field Operations

Introduction

Van Valve Service Centre & Sales Ltd. is an ISO 9001-certified industrial valve repair and inspection company based in British Columbia specializing in Safety Relief Valves. Their clients operate across pulp and paper, oil and gas, LNG, boiler steam, marine, and chemical industries, where equipment downtime can be costly. To keep that downtime to a minimum, Van Valve brings repair, servicing, and testing directly to client sites through its fleet of mobile service trucks. With this field-first model, a documentation problem arose:
Technicians were working across remote industrial sites without reliable internet access, filling out paper forms on every valve they tested or repaired.

A disconnected process

Van Valve has always held its work to the highest standard. Given the sensitivity of the environments they operate in, pulp mills, LNG facilities, and other high consequence sites, every inspection and repair goes through multiple checks and requires a fully documented record.

Before working with TTT, that rigor lived across physical analog forms, filled out in the field and then manually organized and cross referenced back at the office. The process reflected the same discipline Van Valve has always applied to its work.

After each inspection, technicians also used a separate machine to physically engrave identifying data, valve ID, test date, and service record, onto the valve itself, running on its own dedicated J21 software. Time tracking lived in a separate spreadsheet again. In effect, the business was running three parallel processes, each one rigorous on its own, but never integrated. Our job was to build a single digital trail that matched Van Valve's existing discipline, unifying inspection records, engraving data, and time tracking into one searchable system with client access to their own reports and reliable sign-off tracking, so the same high quality process could scale without depending on paper or manual cross referencing.

Built for the field

TTT built a Progressive Web App accessible on tablets, with a complete offline sync architecture at its foundation. Before a technician goes offline, the app synchronizes all relevant data to the device. Every report created or edited in the field is preserved locally. When connectivity is restored, changes sync back to the server automatically. Technicians do not need to manage that process. It happens without intervention.

A simultaneous edit detection feature handles a related risk: two technicians opening the same report at the same time. The app polls the backend, flags the conflict, and prompts the safe resolution before any data is overwritten.

Report workflow and client transparency

The digital Safety Valve Report mirrors the existing analog form, so technicians required no retraining on the content itself. Once submitted, each report moves through a formal approval chain.  File and photo attachments allow technicians to document valve condition at the time of service, which supports compliance requirements.

A client portal gives Van Valve's customers direct access to their own published reports. Clients log in, view their valve history, and download records without contacting Van Valve to request copies.

Expanded over three phases

The engagement extended across three phases over three years. Phase 2 added UX improvements based on the team's day-to-day experience. Phase 3, completed in early 2026, added a timesheet module, a second report type for manual valve repairs, and an integration with Van Valve's pipe engraving software. The integration exports a configuration file that the TAG marking machine reads directly to engrave valve identification data. The timesheet module was customized for Van Valve's payroll cycle, which runs Thursday to Wednesday rather than the standard Monday to Sunday. The export reflects that range.

Van Valve replaced a fully paper-based, disconnected process with a single integrated system that handles field reporting, approval workflows, client access, time tracking, and equipment tagging. Technicians complete reports in the field regardless of connectivity. Clients access records directly. Payroll data exports without manual reformatting. The engagement is now in its fourth year, with enhancements continuing.
